Dalherrick Farm Retreat is run by Katherine Ader trading as a sole trader at Dalherrick Farm, Sauchen, Inverurie, Aberdeenshire, AB51 7RP. In this policy, “we”, “us” and “our” mean Dalherrick Farm Retreat.

We are the data controller for the personal information described below. If you have any questions about this policy or how we handle your information, please contact us at info@dalherrickfarmretreat.co.uk or 07789 046189.

What this policy covers

This policy explains what personal information we collect when you visit our website, get in touch with us, or book and attend a retreat, how we use it, and your rights.

Information we collect

When you contact us through our website or by email or phone, we collect your name, email address, phone number if you give it, and anything you tell us in your message, such as preferred dates or the number of guests.

When you book a retreat, we collect the details we need to arrange your stay. These include the names of everyone attending, contact details, your address for invoicing, travel arrangements if you would like us to collect you from Aberdeen Airport or Stonehaven station, and payment records.

Health and dietary information. To keep you safe and comfortable, we ask about allergies, food intolerances and dietary preferences, for example when you pre-order meals or when we choose milks and snacks for your stay. If you book a complementary therapy, you may also be asked about relevant health conditions so the therapist can confirm the treatment is suitable for you. This is sensitive information and we only collect it with your explicit consent.

When you visit our website, our hosting provider automatically records technical information such as your IP address, browser type and the pages you visit. This is used only to keep the website running securely.

How we use your information

We use your information to:

  • respond to your enquiry and talk through whether the retreat is right for you
  • arrange and manage your booking, including accommodation, activities, therapies, meals and transport
  • take payment and keep financial records
  • keep you safe during your stay, including managing allergies and health considerations
  • keep our website secure and working properly

We do not sell your information, and we do not send marketing emails.

Our legal basis for using your information

Under UK data protection law, we must have a lawful reason for using your personal information:

  • Taking steps towards, and carrying out, a contract with you. This covers responding to enquiries and managing your booking.
  • Legal obligation. This covers keeping financial records required by HMRC.
  • Legitimate interests. This covers keeping our website secure and protecting our business against misuse.
  • Explicit consent. This covers health, allergy and dietary information. You can withdraw your consent at any time by contacting us, although we may then be unable to provide certain meals or treatments safely.

Who we share your information with

We only share what is needed, with:

  • Our therapists and practitioners, who are independent local professionals. We share your name, booking details and, with your consent, any health information relevant to your treatment. Therapists may ask you to complete their own consultation form, which they will hold under their own privacy arrangements.
  • Meal suppliers. Only your order details are shared, not your name or health information.
  • Our website hosting provider, whose servers are based in the UK.
  • Our email provider, which stores our email correspondence.
  • Payment providers, when you pay for your retreat.
  • Professional advisers, such as our accountant, where needed.
  • Authorities, where we are required to by law.

Where your information is stored

Our website is hosted on servers in the UK. If our email or payment provider stores data outside the UK, we make sure appropriate safeguards are in place, as required by UK data protection law.

How long we keep your information

  • Enquiries that do not lead to a booking: 12 months, then deleted.
  • Booking records: 2 years after your stay, unless you ask us to delete them sooner.
  • Financial records: for the period HMRC requires.
  • Health, allergy and dietary information: deleted within 3 months of the end of your stay.
  • Website server logs: kept for a limited period by our hosting provider, typically up to 30 days.

Cookies

Our website uses only essential cookies needed for it to function and to keep it secure. We do not use analytics, advertising or tracking cookies. If this changes, we will update this policy and ask for your consent where required.

Guest photographs

We will never photograph you or share images of you without asking first.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict or stop using your information
  • ask for your information in a format you can take elsewhere
  • withdraw consent where we rely on it

To use any of these rights, contact us at info@dalherrickfarmretreat.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information, please tell us so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Children

Our retreats are for adults, and our website is not intended for anyone under 18.
